By placing an order with Sweet Thomas Bakery, you agree to the following Terms & Conditions. These policies are designed to ensure clear communication, fairness, and the highest quality service for all custom cake orders.
**Order Confirmation & Retainer**
A 50% retainer is required to secure your order and reserve your event date. This retainer covers consultation time, design planning, administrative work, scheduling, and preliminary ingredient sourcing.
The remaining balance is due 14 days prior to the scheduled pickup date for standard orders and 30 days prior to the event date for weddings. Orders are not considered confirmed until the retainer has been received. Failure to submit the remaining balance by the required deadline may result in cancellation of the order, and any payments made may be forfeited.
**Cancellations & Refunds**
Due to the custom nature of our products, cancellation and refund eligibility is limited, as outlined in our order cancellation terms. Wedding clients may receive a refund of payments made up until their scheduled tasting appointment. Once a tasting has taken place, all payments, including the retainer, become non-refundable. If a client chooses to waive their tasting or is unable to schedule or attend for any reason, all payments become immediately non-refundable. By waiving or foregoing the tasting, the client accepts full responsibility for all flavor and design selections.
Refunds will only be issued in the event of an error made by Sweet Thomas Bakery. No refunds will be provided for customer-initiated cancellations outside of the tasting-related refund window.
**Order Changes & Final Design Approval**
Any changes to an order must be requested no later than 7 days prior to the scheduled pickup or delivery date. While we will do our best to accommodate changes, modifications are not guaranteed after this deadline. Final design details, including flavors, colors, and decorative elements, must be approved by the client by the stated deadline. Once final approval is given—or if the approval deadline passes without response—the order will be considered final.
**Design Inspiration & Artistic Interpretation**
Reference photos provided by clients are used for inspiration only. While every effort is made to honor the overall design vision, exact replication is not guaranteed due to artistic interpretation, material availability, and the handmade nature of custom baked goods.
**Pickup & Delivery**
Orders must be picked up or accepted at the agreed-upon date and time. If the client is unable to do so, they must notify Sweet Thomas Bakery as soon as possible. Rescheduling or delivery accommodations may be available for an additional fee but are not guaranteed. Once an order has been picked up or delivered, Sweet Thomas Bakery is not responsible for damage caused by improper handling, transportation, venue conditions, weather, or actions taken by venue staff or other third parties.
**Quality & Client Responsibility**
Every effort is made to ensure each order meets the agreed-upon specifications. Any concerns regarding quality or accuracy must be communicated no later than 7 days prior to pickup or delivery. Issues not reported within this timeframe may not be eligible for correction. Clients are responsible for proper storage and handling after pickup or delivery. Sweet Thomas Bakery is not liable for damage, spoilage, or degradation once the order leaves our premises.
**Allergies & Dietary Restrictions**
It is the client’s responsibility to disclose any allergies or dietary restrictions at the time of ordering. While accommodations may be made, Sweet Thomas Bakery cannot guarantee an allergen-free environment unless explicitly agreed to in writing. Sweet Thomas Bakery is not liable for allergic reactions or dietary-related issues.
**Photography & Marketing Use**
Sweet Thomas Bakery reserves the right to photograph completed products for portfolio, website, and marketing use. No identifying client information will be shared. Clients who wish to opt out must do so in writing prior to the event date.
**Force Majeure**
Sweet Thomas Bakery is not liable for delays, cancellations, or inability to perform due to circumstances beyond our control, including but not limited to natural disasters, severe weather, power outages, or other unforeseen events.
**Acceptance of Terms**
By submitting payment and placing an order with Sweet Thomas Bakery, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
